The Challenge

One of the Tax Service Offices faced significant challenges in managing its inventory due to poor record-keeping and numerous unrecorded or missing assets. These inefficiencies made it difficult to track and maintain accurate data, leading to operational delays and asset mismanagement. An automated, user-friendly solution was needed to centralize operations, enhance accountability, and support warehouse clerks, admins, and employees in their roles.

Our Solution

We developed a customized inventory management system tailored to KPP Pratama Badung Selatan’s needs. The solution centralizes core inventory operations, offering features such as master data management, transaction recording, detailed reporting, stock opname, and robust user management. This system streamlines workflows, improves asset tracking, and provides comprehensive reporting for better decision-making.

Design Approach

  • Business Process Design: CCollaborated with the client to align the system design with operational needs, creating a structured application workflow, SOPs, and detailed process maps for inventory functions.
  • Database Design: Designed a Physical Data Model (PDM) using MySQL, structuring data across multiple tables to ensure efficient data storage and retrieval.

Key Features

  • Login and Master Data Management: Secure login for warehouse clerks, admins, and employees, with management capabilities for assets, categories, and user roles.
  • Inventory Management: Real-time dashboards for stock management, recording stock opname, and tracking item movements.
  • Reporting:Automated generation of detailed inventory reports, accessible in PDF and Excel formats for easy review and distribution.
  • Sales Management: Flexible user role assignment and activity tracking for enhanced system control.

Roles on System

The application supports 2 key roles:

  • Warehouse Clerk: Focuses on stock opname, item receiving, and inventory updates.
  • Admin Role: Manages master data, oversees inventory records, and generates reports.
  • Employee Role: Assists in daily asset tracking and operational support.
